Corporate Metric Tracking

WHAT:  Central Data Location to Track Corporate Metrics

GOAL:  Provide direction to business managers as to how the company is tracking to goal on high-level corporate metrics

METHODOLOGY:  A central database (using MS Excel) has been created by finance to house data for 40 high-level corporate metrics.  Input sheets have been created to house specific daily/weekly/monthly data and will be filled in by source data owners (as designated by business unit managers).  These input sheets will be linked to the central database.  Additionally, graph files have been created that are linked to the central database and will be updated as information is updated.  Currently, this data will be pasted to the Bigstep.com intranet on a daily, weekly or monthly basis (depending on the data).

Phase 1:  Graphs are cut and pasted onto the intranet; ETA April 17th

Phase 2:  Graphs are connected to the intranet via MS Front Page, Dream Weaver, etc by each source data owner

Definitions:

 

Source Data Owner:  Person responsible for data input for a particular metric

Business Unit Manager:  Head of a particular group at BigStep (ex:  John Spottiswood, Operations)

 

Roles and Responsibilities:

 

The people designated as the source data owner for their group will input their data (daily, weekly or monthly) into their specific Excel input spreadsheets.  These files will be located in either daily, weekly or monthly inputs sheets.

The central data file will be linked to the input files and will be maintained by finance. 

**Finance will maintain the data but the accuracy of that data is the responsibility of the source data owner

The graph files will be linked to the central data file and will be updated at the prescribed intervals (daily/weekly/monthly)

**Data will need to be entered into the input files no later than 8AM on Monday and noon on Thursday in order to provide Finance enough time to update (either weekly/monthly)

 

 

Phase 1:

 

Finance will cut and paste the required reports/templates into KBBL:

Daily Stats (ex:  operations, acquisition): around 9:00AM each Monday for the All-Hands Meeting at 9:30AM and 1:00PM each Thursday for the Senior Team Meeting at 3:00PM

Weekly: Monday of the following week  (for the prior week)

Monthly:  First Monday following the end of the prior month

 

Finance will cut and paste only selected graphs/data onto the Intranet in the same time period as stated above.  Groups may wish to add graphs and this will be their responsibility and not that of finance.

 

Any data that does not get into the Excel input spreadsheets in the time prescribed above will not be posted and is the responsibility of the designated source data owner

 

Finance takes no responsibility for data integrity/input.  Our sole responsibility is the maintenance of that data.

 

Phase 2:

 

Same as above for data input, but the solution will be using MS Front Page

Timing of this is TBD and depends on when the intranet specialist position is filled

 

Addition/Deletion of New Data/Graphs

The ultimate goal of this spreadsheet is to highlight high level corporate objectives for Bigstep.com.  As such, the goal is to keep the number of graphs/metrics on the intranet to a minimum.  There are currently 40 metrics that are being tracked in the central database and this number may be too large. 

 

Deletion:  If a metric is not being used to make business decisions, it will be removed from the central database.  The business group manager has the responsibility of making sure their metrics are intended for use on the corporate intranet.  This should happen monthly at a minimum.  To delete metrics from the corporate site, please send a message to finance that describes the following:

 

1.      Metric to be deleted

2.      Reason for deletion

3.      When the metric should be deleted (now, next month, etc)

 

This message needs to come from the Business manager

 

Addition:  If a metric needs to be added to the central database, the business group manager and/or source data owner needs to send a request to finance that states:

 

1.      Metric to be added

2.      Reason for addition

3.      Frequency of tracking

4.      When the metric needs to be added

 

Time to Add/Delete:  Business Manager/Source Data owners should allow AT LEAST 1 WEEK for their metrics to be added/deleted.  This number may be revised at a later date.

 

Revisions to this process will be completed by Late June
